The IFS Partner Evaluation Kit

Built for the selection committee, not the demo. The questions to ask any IFS implementation partner — across delivery capacity, certifications, methodology, data migration, integration, security, commercial terms and hypercare — with ESS's answers stated plainly next to each, so you can verify them on a reference call.

Take the scorecard below into your RFI or RFP whether or not ESS is on your shortlist. If we are, here's what our response includes.

1,900+ custom-layer objects on a single IFS estate · 46 IFS components extended · 220+ integration endpoints — the scale question, answered with numbers.

RFI & RFP support

Your RFI Answered Promptly and Completely

Selection teams work to their own calendar, not a vendor's. Send ESS your RFI or RFP and we agree a response date with you up front, then return a complete, specific response that can include:

  • Completed requirements matrix — each line mapped to standard IFS, configuration, or custom layer
  • Reference architecture: integration landscape, environments, and where your data resides
  • The proposed delivery team, with each consultant's IFS certifications
  • Implementation plan with phase gates — and the client-side roles you need to staff
  • Your security questionnaire completed — CAIQ, SIG or your own template — plus deployment topology
  • Certificates of insurance, W-9 and MSA/SOW templates for procurement
  • Client references, on request

Working under NDA? ESS signs yours rather than insisting on its own paper. Working to a tight procurement deadline? Tell us in your first message and we will confirm what we can deliver by then.

The scorecard

Nine Dimensions to Score Every IFS Partner On

Ask every shortlisted partner the same questions and the differences stop being a matter of who demos better. ESS's answer sits under each set — check it on the reference calls.

Delivery team & capacity

Ask every partner

  • Name the consultants who will be on our project — not the practice leads who pitch.
  • Which of them are on another engagement at go-live, and at what allocation?
  • What is your consultant turnover, and what happens to our project if a lead leaves?
  • Who is accountable after go-live — the same team, or a support desk?

ESS's answer

The consultants in your evaluation meetings are the consultants on your project, and the same team carries you through hypercare and long-term support. One team, no handoffs between sales, delivery and support — the model behind 100% client retention.

IFS certification & platform depth

Ask every partner

  • How many individual IFS Cloud certifications does your team hold, by credential?
  • Which IFS components have you actually extended, and how deeply?
  • Show us custom-layer work you have built and still maintain.
  • Which IFS versions do you support — and can you maintain our current release while we upgrade?

ESS's answer

North America IFS Gold Partner with 15+ years of IFS expertise: 18 individual IFS Cloud certifications across 9 credentials (development, web developer, technical, finance, supply chain, asset management, reporting & analytics, lobbies, workflow), 1,900+ custom-layer objects on one IFS estate and 46 IFS components extended. Coverage across IFS Cloud and IFS Applications 8, 9 and 10.

Methodology & governance

Ask every partner

  • Show us your phase gates and what has to be true to pass each one.
  • What is the steering cadence, and who from your side attends?
  • Which client-side roles must we staff ourselves, and at what time commitment?
  • How do you decide phased versus big-bang, and what would you recommend for us — with reasons?

ESS's answer

Full lifecycle ownership from assessment through go-live and beyond, with an explicit view of what ESS staffs versus what you must backfill internally, so your side of the plan is realistic before the SOW is signed. See the programs page for the phase-gate model.

Data migration

Ask every partner

  • How many mock loads and reconciliation sign-offs happen before cutover?
  • Can a load be re-run safely, or does a failed batch mean a restore?
  • How do you handle complex structures — parent-child master data, deep history, custom fields?
  • Who signs off that the migrated data is correct, and against what?

ESS's answer

Proprietary, portal-driven migration tooling: data is staged and validated in parallel against the live business while you keep running, and loads commit idempotently so any batch can be re-run without creating duplicates. Complex structures such as parent-child master data are modelled explicitly rather than flattened into generic templates.

Integration landscape

Ask every partner

  • How many interfaces have you built around IFS, and against which endpoints?
  • IFS Connect, projections, REST, or middleware — and why that choice for us?
  • Show us a real-time, high-volume integration you built and still run.
  • Who owns the interface when it breaks at 2am in year three?

ESS's answer

220+ integration endpoints built around IFS, including real-time integration for Shanghai Metro, IFS to Baan integration, Ariba vendor onboarding and Walmart purchase orders via the IFS Pulse API. ESS builds and then runs them under managed services rather than handing over a diagram.

Security & architecture

Ask every partner

  • Where does our data physically reside, and who can access it?
  • Give us the data-flow diagram and the subprocessor list.
  • If AI is involved: which models, is our data ever used for training, and what is the audit trail per record?
  • What is the DR posture, and when was the last penetration test?
  • Do you hold a SOC 2 report — and will you share the report itself, not just the badge?

ESS's answer

The AI agentic system behind ESS Fusion AI runs inside your own Azure or AWS tenant with enterprise encryption; your documents are never used to train public models. For the strictest environments ESS deploys fully air-gapped and self-hosted, with no external connectivity at all — which removes most of a standard security questionnaire rather than answering it. ESS has completed SOC 2 Type I audit fieldwork and passed its internal control checks. The auditor's report is expected September 2026 and will be available under NDA; until it is issued, ESS does not claim certification. SOC 2 Type II, which tests that those controls operated effectively over a period rather than at a point in time, follows as the observation window completes. Topology, data-flow diagram, subprocessor list, DR and penetration testing summaries are supplied under NDA.

Commercial model & change orders

Ask every partner

  • Fixed price, T&M or capped T&M — and what specifically triggers a change order?
  • Show us the change-order history on your last three engagements of our size.
  • What is the blended rate, and how does the onshore/offshore mix change over the project?
  • What are the exit terms if this is not working in month six?

ESS's answer

Engagement models are set out up front, with a US delivery base in Lenexa, Kansas and an India team established in 2019. ESS would rather tell you a scope is under-estimated during evaluation than discover it in a change order — the retention record depends on it.

Hypercare & evergreen releases

Ask every partner

  • What are your severity definitions and response SLAs during hypercare?
  • How long does hypercare last, and what does it cost after that?
  • Who regression-tests our customizations against each IFS Cloud release update?
  • What is your process when an IFS release breaks one of our extensions?

ESS's answer

Support and managed services are delivered by the team that built the system, not a separate desk — including ongoing release management against IFS Cloud's evergreen update cadence, which is where most IFS Cloud customers discover they needed a partner.

References & track record

Ask every partner

  • Three references at our revenue scale and complexity — that we call, not you.
  • One reference where the project went badly. What happened and what changed?
  • How long is your average client relationship?
  • What is your client retention rate, and how do you measure it?

ESS's answer

25+ years in ERP and 100% client retention, with published IFS work including an IFS Cloud implementation for a Swedish energy utility, an Apps 10 to IFS Cloud functional transformation, IFS EDI automation and field-service optimization. References at enterprise scale are provided on request during an RFI.

Before you commit

Measured Numbers on Your Documents — Not a Scripted Demo

No committee should approve an AI document-processing investment on a vendor's benchmark against a vendor's sample. So ESS runs the evaluation on your data instead. Send a representative set of real customer orders, purchase order acknowledgements or supplier invoices under NDA, and you get back numbers you can defend in a business case.

  • Field-level extraction accuracy — header and line level, per document type
  • Achievable straight-through-processing rate against your own confidence thresholds
  • An exception taxonomy: which documents need a human, and precisely why
  • Records created in an IFS Cloud or IFS Applications test instance, end to end
  • A written assessment of what would need to change before production

The findings are yours whatever you decide. If the numbers do not justify the project, that is a useful result too — and cheaper to learn now.

How the proof of concept runs

  1. 1

    NDA and sample

We sign your NDA. You send a representative sample of real documents — variety matters far more than volume.

  2. 2

    Baseline run

Documents are processed by the AI agentic system with no per-vendor templates built and no tuning, so you see a true baseline.

  3. 3

    Tuned run

Confidence thresholds and validation rules are set against your IFS master data, then the same set is re-run.

  4. 4

    Readout

A working session walking your team through accuracy by field, the STP rate, the exception taxonomy and the records created in your IFS test instance.

Where ESS Makes the Difference

The situations where an IFS Gold Partner with deep platform and delivery experience adds the most value.

  • Implementing IFS Cloud for the first time, with one team from demo to go-live.
  • Upgrading from IFS Applications 8, 9 or 10 to IFS Cloud with proven data migration tooling.
  • Extending IFS with custom-layer depth — extensions, projections and integrations — built upgrade-safe.
  • Connecting IFS to the rest of your landscape through documented APIs and IFS Connect.
  • Automating document-heavy processes into IFS with ESS Fusion AI.
  • Keeping IFS Cloud current and optimized long after go-live.

Need the Requirements Matrix as a Working Document?

The scorecard above is also available as an editable evaluation pack your team can circulate internally and score partners in — including a requirements template mapped to IFS Cloud capability tiers (standard, configuration, custom layer) so your RFP asks for the right thing in the first place. Ask for it and it is yours, with no obligation to put ESS on the shortlist.

FAQ

Evaluating IFS Partners — FAQ

Score every IFS partner on the same nine dimensions rather than on the demo: delivery capacity and who is actually on your project, certified IFS Cloud skills by discipline, implementation methodology and phase gates, data migration approach, integration landscape, security and architecture, commercial model and change-order behaviour, hypercare and evergreen release management, and references at your revenue scale. The most useful question in any IFS partner evaluation is simply "name the people who will be on my project and show me their IFS certifications" — the answer separates firms that deliver with their own certified consultants from firms that will staff your program after they win it. The evaluation kit on this page lists the questions under each dimension so your team can lift them straight into an RFI or RFP scorecard.

A useful IFS RFI asks for five things a brochure cannot fake: a completed requirements matrix mapped to IFS Cloud capability (standard, configuration, or custom layer for each line), a reference architecture showing the integration landscape and where data resides, the named delivery team with individual IFS certifications, an implementation plan with phase gates and the client-side roles you must staff yourself, and three references at comparable revenue and complexity. Add a security questionnaire and evidence of insurance if AI or cloud components are in scope. ESS responds promptly and agrees a response date with you when your RFI arrives, because selection teams work to their own calendar, not a vendor's.

Differently, not cheaper-but-worse. A tier-1 SI brings scale, global rollout capacity and a brand that is easy to defend internally — and, typically, a pyramid staffing model where the people who pitch are not the people who deliver. ESS is a North America IFS Gold Partner with 15+ years of IFS expertise and 18 individual IFS Cloud certifications across nine credentials; the consultants in your evaluation meetings are the consultants on your project, and the same team stays on through hypercare and support. For a single-instance or few-site IFS Cloud implementation or an Apps 8/9/10 to IFS Cloud upgrade, that continuity and the depth of ESS's custom-layer and integration experience matter more than headcount.

ESS's IFS work runs at enterprise scale today: 1,900+ custom-layer objects on a single IFS estate, 46 IFS components extended and 220+ integration endpoints around IFS, alongside delivered programs including an IFS Cloud implementation for a Swedish energy utility, real-time integration for Shanghai Metro, IFS to Baan integration and Ariba and Walmart API integrations. For a growing, mid-sized organization, that is the relevant proof point — not partner headcount, but whether the partner has already run an IFS estate as complex as the one you are asking them to build. ESS backs it with 25+ years in ERP and 100% client retention. Ask for the reference calls; they are the fastest way to verify any of it.

For a useful response rather than a generic one: your current IFS version (or incumbent ERP), site and legal-entity count, approximate user count by role, your integration inventory, rough transaction volumes, and your target go-live window. If document processing is in scope, add monthly document volumes by type. With that, ESS can return a realistic plan, a defensible estimate and a clear view of the key risks and how they will be managed. If the evaluation is under NDA, ESS will sign yours rather than insisting on its own paper.

Yes — for AI document processing on IFS, ESS runs a scoped proof of concept on your own documents rather than a scripted demo. Send a representative sample of real customer orders, purchase order acknowledgements or supplier invoices under NDA, and ESS returns measured field-level extraction accuracy, an achievable straight-through-processing rate and an exception taxonomy showing exactly which documents would need a human and why. That gives an evaluation committee measured numbers on their own data to put in a business case, instead of a vendor's benchmark on a vendor's sample. For implementation and upgrade work, the equivalent is a paid readiness assessment that produces an estate inventory, a customization-debt report and a sized cutover plan you own regardless of who you select.

Put Us on the Shortlist — or Just Take the Scorecard

Either is a good outcome. A better-run IFS evaluation produces better IFS projects, and this industry has enough of the other kind.
