Quote Automation for Epicor Prophet 21 (P21): From RFQ to Quote
Prophet 21 quote automation turns a customer's request for quote into a quote in P21 with no re-keying. An AI vision agentic system reads the RFQ, resolves the customer and every part number against live Prophet 21 data, and creates the quote for your team to review.
From Request for Quote to P21 Quote
A request for quote arrives the same way an order does: a PDF, a spreadsheet printout, a scan, or a list of part numbers typed into an email. An inside sales rep reads it, looks up each item, and keys a quote into Prophet 21.
ESS Fusion AI reads the request with an AI vision agentic system, including the body of the email, and resolves each value against live P21 data: the customer, the ship-to, the contact and every requested line with its quantity and unit of measure. The quote is then created in Prophet 21.
Customer Part Numbers on an RFQ
Customers ask for quotes using their own part numbers, a manufacturer's part number, or a description. Each line is matched to your P21 item by the customer's part number, the supplier's part number or your item ID, and the unit of measure is resolved for the item.
A line that cannot be matched is shown to a reviewer with the closest candidates, so one unclear line does not hold up the rest of the quote.
Created as a Quote for Your Team to Review
The document is created in Prophet 21 as a quote, not as an approved order. Your inside sales team opens it in P21, reviews pricing and terms the way they do today, and sends it to the customer. The entry work is done for them; the commercial decision stays with them.
- Customer, ship-to and contact resolved before the quote is created
- Every requested line carried onto the quote with its quantity and unit of measure
- The customer's original request kept with the quote's timeline
- Required fields checked first, so an incomplete request is routed to a person
Items That Are Not in Prophet 21 Yet
Requests for quote often include items you have never stocked. The missing item can be created in P21 from a supplier catalogue selection as part of the same flow, and the quote line then uses the new item.
When the Customer Sends the Order
The same pipeline that creates quotes also creates sales orders. When the customer's purchase order arrives, it is read and resolved in the same way and created as a sales order in Prophet 21.
